Cancellation Policy
Meeting & Events
Any cancellations are to be communicated to us in a written and dated document. No rights can be derived from oral cancellation. The date of receipt of the letter or email will be deemed to be the final cancellation date. The total reservation value, based on the most recent confirmation of the group, event or conference will be the basis for the amount due by the client of the agreement.
Cancellation of the entire event;
Partial cancellation of the facilities of the event (e.g. meals, meeting rooms, hotel rooms);
Reduction of the duration of the event, resulting in a reduction of the reservation value;
Reduction of the contracted number of guests;
Rescheduling of the entire event to another date.
Meeting Room Reservations
For meeting room reservations, in the event of cancellation of all or part of a reservation, the following cancellation policy applies:
Up to 3 months before the start of the event, it is possible to cancel the reservation free of charge.
Within 3 months before the start of the event, 30% of the reservation value will be charged.
Within 2 months before the start of the event, 65% of the reservation value will be charged.
Within 1 month before the start of the event, 85% of the reservation value will be charged.
Within 14 days before the start of the event, 100% of the reservation value will be charged.
Up to 48 hours before the start of the event, it is possible to cancel a maximum of 10% of the reserved number of persons free of charge.
Hotel Hoom Reservations
In case of a reservation of more than 9 hotel rooms, the following cancellation conditions apply in case of cancellation of all or part of the reservation:
Up to 3 months before the arrival of the first night, it is possible to cancel the reservation free of charge.
Within 3 months before arrival of the first night, 10% of the reservation value will be charged.
Within 2 months before arrival of the first night, 20% of the reservation value will be charged.
Within 1 month before arrival of the first night, 40% of the reservation value will be charged.
Within 14 days before arrival of the first night, 50% of the reservation value will be charged.
Within 7 days before arrival of the first night, 75% of the reservation value will be charged.
Within 48 hours before arrival of the first night, 100% of the reservation value will be charged.
In the event of a reservation of less than 9 hotel rooms, the following cancellation conditions apply to the cancellation of all or part of the reservation:
Hotel rooms can be cancelled free of charge up to 48 hours before arrival. If the room reservation is cancelled after this time or in case of a no-show, 100% of the reservation value will be charged.
Payment & Conditions
50% downpayment is due at the moment of making the reservation, the remaining balance is due 1 month prior to the start date of the event.
Uniform Conditions for the Hotel and Catering Industry
On all our reservations the Uniform Conditions Horeca (UVH) and our conditions apply. These conditions do apply for everyone who uses our services. On request we can send you a copy. Van der Valk Hotel Amsterdam - Amstel cannot be held liable for any damage, theft, embezzlement or loss of items in the rented room(s). Items remain the responsibility of the owner and/or user. Please check the information in this document carefully. For questions or changes in regard to this reservation, we kindly request you to contact us as soon as possible.
During your Event
Remarks Meeting Rooms
Please be aware that the meeting room will be ready 15 minutes prior to the reserved starting time unless otherwise specified. We kindly ask you inform us when the meeting room is required well before the starting time of the meeting for organizational purposes.
If the set-up of the meeting room needs to be changed on the day of the event, we charge an additional 25% extra meeting room hire.
Meeting room names mentioned in this offer are subject to change. If you prefer a specific room, please let us know. We will do our utmost to take this into account.
Supplying Goods
Goods for the purpose of your event can be delivered at our front office. These goods should be provided with the date of the event, the company name, contact person and the reservation number. Deliveries that do not have this information will not be accepted. Goods will be kept in storage until a week after the event. After this period, we reserve the right to destroy the goods in a safe way.
Other Important Information
Rooming list
Please be so kind to send us a rooming list for the booked hotel rooms no later than 2 weeks prior to arrival so we can update the names in our system.
Diet wishes
Should you or any of your guests have an allergy or need an adjusted diet, please notify us two weeks prior to arrival and we will see to it that your food will be prepared according to the necessary diet requirements.
Menu choices
When making a reservation for a sit-down multiple course dinner please provide us with the menu choice 2 weeks prior to arrival of the dinner/lunch.
Check-in
Check in starts from 15:00 onwards, if guests arrive before the room is ready it is possible to store luggage at reception. Check out of the room is at 12:00, it is possible to store luggage at reception after check out as well.

Parking
Van der Valk Hotel Amsterdam - Amstel has its own secured parking garage with 131 parking spaces, of which 2 disabled parking spaces. Would you like to charge your electric car? This can be done at one of our six charging stations! Parking fee is our parking garage is €4,00 per hour with a maximum of €25,00 per car per day. Parking is always based upon availability on arrival.
